Privacy Policy
This Privacy Policy explains how MindWell Solutions Group LLC (“we”, “us”, “our”) collects, uses, shares and protects information when you use PROVA by InsightRoom, including the website at insightroom.io, the web app at insightroom.io/app, and the PROVA apps for iOS and Android (together, the “Service”).

1. The PROVA mobile apps
The PROVA apps for iOS and Android display the insightroom.io website and web app inside the app (a web view). They do not collect anything beyond what the website collects as described in this policy, so this same policy applies to the website and to both apps.
The apps may ask you to unlock them with your device’s fingerprint, face recognition or passcode before opening. That check is handled entirely by your device’s operating system; we never receive or store biometric information. The Service does not currently use your camera, microphone or location.
2. Information we collect
Information you give us
- Sign-up details. When you sign up or start a free focus group, we collect your email address. On our sign-up page we also ask for your full name, and optionally your company and what you plan to research (a choice from a short list).
- Feedback. If you choose to answer our in-app feedback question, we collect your rating of how useful the run was, any optional comment you type, your email address, and the number of focus groups saved on your device.
- Emails you send us. If you contact us, we receive your email address and whatever you include in your message.
Information stored only on your device
PROVA’s focus-group engine runs entirely in your browser or app. The questions, context and audience settings you enter, and the focus-group results PROVA generates, are stored only on your device (in your browser’s local storage) and are not sent to us or to any third party, including any AI provider. If you use “Download report”, the report file is created on your device.
We also use local storage on your device to remember your email address and name (so the app knows you have signed up) and whether you have already answered the feedback question. We do not use advertising cookies or cross-site tracking.
Information collected automatically
Like most websites, our hosting provider automatically processes technical information when your device requests pages, such as your IP address, browser or device type, the pages requested, referring page and the date and time. Form submissions may also be recorded with technical details such as IP address, browser user agent and referring page, for spam prevention. We do not use analytics or advertising trackers on the Service.
Third-party content
- Fonts. Our pages load fonts from Google Fonts, so your browser connects to Google’s servers, which receive your IP address and browser information. See Google’s Privacy Policy.
- Video. Our home page includes an embedded YouTube video. YouTube (Google) may collect information, and may set cookies, when that player loads or when you play it, under Google’s Privacy Policy.
3. How we use information
- To give you access to PROVA and run the Service.
- To contact you about your PROVA access and the Service, including occasional product updates and follow-up emails. Every marketing email lets you unsubscribe, or you can email hello@insightroom.io.
- To understand how useful PROVA is and improve it, using the feedback you choose to send.
- To respond to your messages and requests.
- To prevent spam and abuse, keep the Service secure, and meet legal obligations.
4. How we share information
We do not sell your personal information, and we do not share it for advertising. We do not show ads in PROVA. We share information only:
- With service providers that run parts of the Service for us and may use the information only to provide their services to us: Netlify (website hosting and form submissions) and Google (our email and business document tools, where we receive form notifications and manage sign-ups). Google Fonts and YouTube also receive the technical information described above.
- For legal reasons, if required by law or to protect the rights, safety or property of our users, us or others.
- In a business transfer, such as a merger, acquisition or sale of assets, in which case this policy will continue to apply to your information.
PROVA does not send your focus-group questions, context or results to any AI provider or other third party.
5. Data retention
We keep sign-up and feedback information for as long as you use PROVA or until you ask us to delete it, and after that only as long as needed for legal, security or record-keeping purposes. Information stored in your browser or app stays on your device until you clear it (see section 8).
6. Security
The Service is served over encrypted HTTPS connections, and we limit access to personal information to people who need it to run PROVA. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Children
PROVA is a business research tool and is not directed to children. It is not intended for anyone under 13, or under 16 in the European Economic Area or the United Kingdom, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, email hello@insightroom.io and we will delete it.
8. Deleting your account and data
To delete your PROVA account and data: email hello@insightroom.io from the address you signed up with, with the subject “Delete my data”. We will delete your sign-up details, feedback and related records within 30 days and confirm by email.
To delete data stored on your device: in the PROVA app, tap “Clear data on this device” at the bottom of the app screen. This removes your saved focus groups, email address, name and feedback status from that device. You can also clear this website’s data in your browser settings, or uninstall the PROVA app.
Signing out removes your email address and name from the device, but leaves your saved focus groups on it until you clear them as described above.
9. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or get a copy of your personal information, to object to or restrict certain uses, and to withdraw consent. You can unsubscribe from marketing emails at any time. To make a request, email hello@insightroom.io. We will respond within the time required by applicable law, and we will not discriminate against you for using these rights. You may also have the right to complain to your local data protection authority.
10. International users
We are based in the United States, and our service providers may process information in the United States and other countries. By using the Service, you understand that your information may be processed outside your country.
11. Changes to this policy
We may update this policy from time to time. When we do, we will post the new version on this page and change the “Last updated” date. If the changes are significant, we will give more prominent notice, such as on the website or by email.
